Clinical Administrative Assistant
Position Summary
Under direction, provides patient care, administrative and secretarial support to physicians, clinical and administrative staff.
Job Responsibilities
+ Ensures an efficient flow of patients within exam rooms and a continued positive patient experience.
+ Obtains pre-certification authorization numbers.
+ Schedules & confirms office appointments, laboratory and diagnostic tests, inpatient and outpatient surgery and hospital admissions.
+ Initiates, maintains and updates medical records within the practice management system.
+ Maintains physicians' calendar.
+ Assists in the organization, maintenance and distribution of monthly physician on-call schedule.
+ Prepares travel arrangements for business purposes.
+ Prepares presentation materials for conferences and lectures.
+ Tracks payment processing; follows up with vendors on billing discrepancies.
+ Responsible for procurement activities related to goods, services, and/or equipment as needed.
+ Responsible for disbursement/reimbursement activities as needed.
+ Maintains inventory of supplies, equipment and/or reagents. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.
+ Ensures that facilities and equipment are in optimal and proper working condition. Coordinates preventative maintenance and repairs as needed. May perform minor repairs if qualified and as needed. May advise on upgrades for performance enhancements.
+ Obtains, reviews and updates patient demographic and insurance information within the practice management billing system.
+ If applicable, ensures that patients provide any pre-visit documentation, pre-certifications or authorizations for medical services as needed, and/or a referral, if required.
+ Initiates and prepares written correspondence as needed and based on functional needs.
+ Answers phones, responds to inquiries and triages calls to appropriate personnel.
+ Receives, sorts and distributes mail; accepts and signs for package deliveries.
+ Performs other related duties as assigned.
+ High School Diploma
Approximately 2 years of prior related experience
Knowledge, Skills and Abilities
+ Demonstrated proficiency with MS Office Suite and database applications.
+ Excellent communication skills (both verbal and written).
+ Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".
+ Demonstrated organizational skills and ability to pay close attention to detail.
+ Ability to handle multiple simultaneous demands and prioritize work.
